Good afternoon, Honors Choir Families!

In order for you to plan accordingly, here is our itinerary for Saturday, October 7 when the Honors Choir will travel to the Tan-Ra-A Resort in Lake of the Ozarks to perform at the Missouri School Board Association annual conference:

Packing List:

  • Arrive at West Middle School in performance clothes (white collared shirt, black from waist to toe) with swimsuit underneath.
  • Swim Towel
  • Dry set of clothes (top, shorts, and sandals)
  • Snack (recommended)
  • Drawstring bag (recommended)
Itinerary:

  • 9:30 am
    • Meet in the parking lot of West Middle School. The directors will speak to the ensemble before we load the buses regarding behavioral expectations for the day.
  • 10:00am
    • Depart West Middle School for Tan-Tar-A Resort
  • 11:30am
    • Arrive at Tan-Tar-A Resort.
    • Have a snack to tide students over until after the performance.
    • Students may bring their own snack. If students do not have a snack, one will be provided for them. Students may bring a water bottle, or water will be provided, if needed.
  • 12:00pm
    • Honors Choir warms up
  • 1:00pm
    • Honors Choir performs
  • 1:15pm
    • Lunch will be provided for students. Please be sure to include any dietary restrictions in the medical section of the permission/release form.
  • 2:00pm
    • Pool party at Tan-Tar-A Resort Water Park.
    • Lifeguards will be on duty.
  • 3:30pm
    • Students load buses
    • Honors Choir departs Tan-Tar-A Resort for Columbia.
  • 4:30-4:45pm
    • Students arrive at West Middle School parking lot.

Fundraiser Due Tomorrow!

Good afternoon, Honors Choir Families!

I hope you are all doing well, and that your students are ready for another rehearsal tomorrow after their day off today.

Some deadlines and events are quickly approaching:
  • SEPTEMBER 26TH: fundraising money and orders are due.
    • This is TOMORROW!
  • All checks (fundraiser, t-shirts, donations, etc.) should be made out to:
“Columbia Public Schools” with “Honors Choir” in the memo line.
We are unable to accept any payment not made out to “Columbia Public Schools”.

  • OCTOBER 3RD: T-shirt orders and money are due (Optional)
This is just one week away!
  • OCTOBER 7TH: First performance at Missouri School Board Association conference at Tan-Tar-A resort. Students must have required uniform pieces to perform. Please read handbook for requirements. If you are unable to provide any uniform piece, please contact Ms. Tevebaugh.
  • OCTOBER 24TH : pick-up for fundraising items at the end of rehearsal.
  • Students should have brought home a nametag and a t-shirt order form after last week’s rehearsal . I have attached the order form, if needed. Students should bring their Honors Choir folder and nametag to each rehearsal. Their nametags have a QR code they will use to check into rehearsal each time.

DELEGATE CONDUCT PRACTICES AND PROCEDURES

1. The term “delegate” shall mean any student, attending district endorsed activities.

2. There shall be no defacing of public property. Any damages to any property or furnishing in the hotel rooms or building must be paid for by the individual or chapter responsible.

3. Delegates shall keep their adult advisors informed of their activities and whereabouts at all times.

4. Delegates should be prompt and prepared for all activities.

5. Delegates should be financially prepared for all possibilities.

6. No alcoholic beverages or narcotics in any form shall be possessed by delegates at any time, under any circumstances.

7. No smoking will be permitted.

8. No delegates shall leave designated areas (except for authorized activities) unless permission has been received from the adult advisor or chaperone.

9. Delegates are required to attend all general sessions and activities assigned, including workshops, competitive events, committee meetings, etc. for which they are registered unless engaged in some specific assignment taking place at the same time.

10. Delegates should be carrying or wearing appropriate identification at all times.

11. Appropriate dress is expected.

12. No boys in girls’ rooms, no girls in boys’ rooms

13. Curfew will be enforced. Curfew means delegates will be in assigned rooms.

14. Delegates will use digital cameras in an appropriate and respectful manner.

15. Delegates shall not engage in any lewd, indecent, sexual, or obscene act or expression.

16. Delegates shall not engage in verbal, physical, or sexual harassment, hazing, or name-calling. The use of slurs against any person on the basis of race, color, creed, national origin, ancestry, age, sex, sexual orientation, or disability is prohibited.

I approve the student named in this document to attend and travel to trip-related activities. I realize that violation of any rules can result in the immediate return of the student, at family’s/guardian’s expense, to his/her home community. It is the responsibility of the parent/guardian to meet the delegate at the airport, bus terminal, etc., should it be necessary to send the delegate home.

I understand that the Columbia School District No. 93’s insurance does not cover damages arising from, or related to, injuries sustained by students during transportation to, transportation from, or participation in Choir Performance at MSBA Annual Conference.

I hereby waive any damages and/or harm resulting to Student as a result of participation
in Choir Performance at MSBA Annual Conference.

By signing this form, I knowingly, voluntarily, and for adequate consideration release and waive and further agree to indemnify and hold harmless the Columbia School District No. 93 (the “District”), the District’s insurers, and the District’s current and former members, employees, affiliates, successors, assigns, officers, agents, other insurers, servants, representatives, and all other entities affiliated with or related to the District from all claims, demands, suits, damages, actions, causes of action and liabilities arising in any manner out of, relating to, or connected with Student’s transportation to, transportation from, and participation in Choir Performance at MSBA Annual Conference, including but not limited to claims for any physical injuries, illnesses, death,
loss of property, or property damage sustained while participating in Choir Performance at MSBA Annual Conference, and including any injuries/illnesses/death sustained due to the sole negligence of the District or its employees, whether such negligence is present at the signing of this Release or takes place in the future. I understand that this Release is binding on my heirs, personal
representatives, next of kin, spouse and assigns.

Good afternoon, Honors Choir Families –

I hope you’re encouraging your students to look over their Honors Choir music at home these days, as our first performance is coming up quickly!

In order for us to legally transport and supervise your student on Oct.7 to the performance at the Missouri School Board Association conference held at the Tan-Tar-A Resort in Lake of the Ozarks, we need a permission slip. I realize this form is extensive; however, it is our policy to take every precaution and have complete information when chaperoning students.

Many parents have inquired about being a chaperone along with the Honors Choir. At this time, we have several elementary music specialists accompanying us on the trip in addition to the team of directors present at each rehearsal, so we do not require any extra chaperones. Thank you for those of you who offered your time and energy. I will keep you posted about our chaperone needs in the future.

It is vital that you return this permission slip back to me quickly. Students will not be able to participate in this event unless I have a valid permission form. We will request a similar document in the spring when we take the ensemble to Kansas City. The form is pre-populated with the trip information. Please provide the rest of the information in the appropriate fields. Please note that there are multiple places for both parents and students to sign and date.

I encourage you to fill out the form electronically, print it off, and sign it. You may scan a signed copy and send it to me electronically, or you may send it with your student to any rehearsal before Oct. 7. I will also bring hard copies of this form to rehearsals if you would like to take it home next week. Once I’ve received your child’s permission slip, there will be no need for me to remind you to return it!

If your child is planning to not attend the Oct. 7 performance, please let me know ASAP so I can make a note in our records.

Weekly Honors Choir Update!

Please report all absences, late arrivals, or need for early pick-up in advance to Ms. Tevebaugh. If given prior notice, the team of directors can accommodate most situations. If not given prior notice, it is disruptive to ensemble rehearsal for your student to arrive late or leave early. Thank you for respecting our rehearsal time.

Dear Honors Choir Families:

I noticed today that several students accidentally ripped their music out of their folders. Before next week’s rehearsal, they may repair it with hole protectors.

October 7th Correction!

September 7, 2017

Dear Honors Choir Families:

Please note the corrections to the agenda for the performance on Saturday, October 7th at the Missouri School Board Association conference at Tan-Tar-A Resort in Lake of the Ozarks.

At the parent meeting, we announced some of the details about the October 7th performance at the Missouri School Board Association conference. The group will perform at 1:00pm on Saturday, October 7th. Dress rehearsal at Tan-Tar-A begins at 12:00pm. It will take us up to 2 hours by bus to get to Lake of the Ozarks, so we plan on leaving in the morning between 9:00 and 9:30am, giving us sufficient time to feed the Honors Choir students lunch and allow time for other preparations. We will leave from West Middle School the morning of October 7th. Unfortunately, because this performance is at a conference of a professional dues-paying organization, all parents not belonging to the Missouri School Board Association are not eligible to attend. I will keep you posted about the need for parent chaperones. We are hoping to have a pool party after the performance at the Tan-Tar-A Resort Water Park. We are planning to return to Columbia between 4:30 and 5:00pm. Because Mr. Melton was unable to attend yesterday’s rehearsal, more details will be announced as they become available. If you have any questions or concerns about this performance, please contact me directly.

Dear Honors Choir Families:

It was great to see so many of you at the parent meeting on Tuesday evening! If something came up and you were unable to attend, this email should help. You are always welcome to email me with questions, comments, or concerns. The team of directors is excited to have your singer in the Honors Choir! We appreciated the talent and enthusiasm from the group yesterday, and we are looking forward to helping them develop their singing habits and skills individually and as an ensemble this year.

At the parent meeting, we announced some of the details about the October 7th performance at the Missouri School Board Association conference. The group will perform at 1:00pm on Saturday, October 7th. Dress rehearsal at Tan-Tar-A begins at 12:00pm. At next week’s rehearsal, singers will receive choir folders and nametags. It is important that they bring both items to rehearsal each week. Also at next week’s rehearsal, t-shirt order forms will be handed out. Honors Choir t-shirts are not mandatory to own, but are available for purchase for $10 apiece.

MEMBER’S HANDBOOK
2017-18
            The Columbia Public Schools 5th Grade Honors Choir is a 125-member ensemble with students from every of the 22 elementary schools in Columbia and some surrounding districts, as well. The Honors Choir has traveled extensively and performed at the Missouri Music Educators Convention in Osage Beach, MO. Founded by educators Susan Altomari and Mary Beth Ming in 1987, the Honors Choir is proud to be starting their 31st season. Although the personnel for the ensemble changes every year, students are always thrilled to be joining the rich history of choral music in mid-Missouri.
           
            In this handbook, you will find valuable information concerning our goals, policies, concerns, and uniforms.  Please read the handbook carefully and if you have questions, feel free to contact me via email, phone, or in person.  Thanks in advance for all your support, both for me and for your child, to make this a fun, exciting year of choral music!

Goals
Columbia Public Schools Fifth Grade Honors Choir members will receive training in appropriate & healthy voice production and experience in ensemble singing.  Participation in the choir provides an opportunity to perform music that is often more challenging than singers may have previously experienced, and it is also an opportunity to build social relationships that will benefit them as they progress into advanced levels of music.  Rehearsals, therefore, must be a high priority for you.  Weekly attendance is mandatory.  Unexcused absences could result in dismissal from the choir.
Sometimes, your child may not always realize the impact of the wonderful growing pains of more advanced and rigorous learning. It is essential to the process to have your support when “it just seems too hard.”

Honors Choir will begin on Tuesday, September 5.  Our rehearsals are in the West Middle School Choir Room from 4:00-5:15 on Tuesdays.  This year’s choir will have five major performances.  We have tried not to “overbook” your singers with concerts, because we know that families are often involved in many other activities.  These concerts need to go on your family calendars immediately to avoid conflicts that may arise.  There may be some additional performances that will be scheduled.  I will give you notice about these performances well in advance of the dates.
In short, our goals are hopefully your goals!  We want every singer to have the best musical experience possible.  This can be realized only through dedication, regular attendance, and hard work.  Yes, choral singing takes a lot of work, but it is also extremely rewarding!

Policies            
1) Honors Choir members MUST continue to participate in their own school choirs. There is zero exception to this rule.
2) Three absences will result in a conference with the choir directors to discuss if your singer should continue with the ensemble. If your singer has other obligations such as sports or clubs that overlap with the honors choir, then your family will need to make a decision about what obligation you will commit to. We certainly understand when difficult decisions have to be made.
3) Honors Choir members are very visible representatives of our schools.  Their conduct and behavior is very important, and will be redirected in our group as needed. If there are major or multiple incidents, a singer’s parent will be contacted. Students who do not improve will be dismissed from the choir.
4) We will have rehearsals at our regularly scheduled time on Tuesdays, 4:00-5:15 p.m (5:45pm for extended rehearsals until October 7). All rehearsals will be at West Middle School in the choir room, unless otherwise notified.
5) If school is not in session, we will not meet.
6) All of our directors are involved in Tuesday evening activities.  Parents must pick up their children no later than 5:30 (6:00pm for extended rehearsals only).  Students whose parents are chronically late will be dismissed from the choir.
7) All uniforms must meet the standards set out in the uniform section of this handbook.  Cardigans are provided; other items such as shirts, skirts, pants, socks, and shoes are provided by the family of the choir member. If a need exists, please contact Lindsey Tevebaugh at lipierce@cpsk12.org .

Concerns
  • Honors Choir members should plan to be dropped off no earlier than 3:45PM and no later than 4:00.  Mr. Battle, Mrs. Nichols, and Ms. Tevebaugh will be unavailable for supervision before 3:45 because of other duties.
  • Students may choose to have a water bottle with them at rehearsals but gum chewing is forbidden, and snacks should be finished outside the choir room before we begin rehearsal.
  • Choir members need to be picked up promptly when rehearsals are over.  Membership can be terminated if directors have to wait frequently for a student to be picked up.  We will not leave children waiting unattended, but our own schedules do not allow us to wait for late parents.  Please be respectful of our time with our families.

Uniforms
The uniform for concerts is as follow unless otherwise noted:
Bottoms: Black skirts with black tights or black pants with black socks
Shoes: Black dress shoes
Tops: All students will need a white button collared shirt. Students will be provided a burgundy cardigan with a gold neck tie. The white shirt does not need to have a certain arm length; it just simply needs to have a collar that can hold a necktie with a button. This would include button down dress shirts or polo shirts.
The cardigans and necktie are property of Columbia Public Schools.
Please contact Lindsey Tevebaugh(lipierce@cpsk12.org) if purchasing a shirt and pants or a skirt is a problem for you.  We will provide you with a donated uniform or look for a source of alternative funding.  I do not want this to prevent any child who has qualified from participating.
Fundraising Project
The fundraiser project will kick off on September 5 and will conclude on September 26th. A fundraiser information packet will come home with your choir member on September 5. The fundraiser will also help pay for music and any vests that need to be replaced.
If you have questions concerning the fundraiser, please contact me.  The project is easy and the profit margin is very good.  The CPS Honors Choir has worked with Cherrydale Farms, our fundraising company, for many years, and they are wonderful about making it successful and easy for you and me!
